Roles and Responsibility

·         Assist Project Managers predominantly in UK in producing initial project plans, ensure   plans adhere to organisational project management frameworks and are being kept up to date.

·         Assist in development and maintenance of project management documents. Examples of documents include – Business Case, Mandate, Budgets, Estimates Spreadsheets, Work Breakdown Structure, Dashboards. Have standard templates in place as a part of overall governance

·         Develop & use management dashboards to generate various reports e.g. Checkpoint Reports, Highlight Reports, and Exception Reports  to highlight Project or Programme performance

·         Is responsible for overall governance / administration of the projects or programmes.

·         Highlight possible deviations from plans to the Project or Program Board to enable quality decision making. Provide support in absence of the Project Manager/ BA’s and Technical team for any reporting.

·         Create presentation materials for multiple governance forums such Project / Programme Board Meetings

·         Prepare and distribute agenda, Minutes of Meetings and follow up on open actions

·         Ensure data collection process operates correctly. Facilitate project checkpoint meetings, accurately capture actions, assist with project risk-issue management and project change control (RAID Log)

·         Take ownership of ensuring open items are followed through till closure.

·         Assist Project Managers in managing their budget every month.

·         Have catch-up calls with Project Managers to forecast their accruals (incoming costs for the month)

·         Anticipate any costs they may have missed based on the SOW /PO’s raised against their project, bring it to their attention and include in the accruals

·         Based on the SOW/PO raised against BAU initiatives, forecast accruals

·         Partner with Finance Business Partner (FBP) to walk through the accruals as per each project and BAU costs, send final list to FBP

·         SOW Management - end to end tracking of SOW’s, raising Requisitions and PO’s for all contractors

·         Invoice Management – end to end tracking of Invoices for all contractors

·         Work in partnership with finance business partner / finance team aligned to Collaboration Sols.

·         Track and report on both BAU and Change budgets throughout the year

·         Perform accurate financial forecasting, reporting and tracking for BAU and Project Budget

·         Engagement with PM and BAU cost centre owners to ensure alignment with approved budgets

·         Analyse financial data and perform variance analysis; identify trends, and make recommendations for improvements

·         Manage Planview financials at strategy level overall

·         Owns and controls the collation of approved contract, agreement, work order or statement of work. Regular reporting of the same

·         Own and manage PO’s and track invoices for Collaboration Sols. Continues track through to the final invoice in receipt and payment

·         Owns and drives the complete month end process right from reconciling transactions lists (Actuals) from last month against the approved budget lines till reforecasting expenses for the current month

·         Understand the working of Oracle General Ledger, where the accounting entries originate and how to access supporting documentation to gain an understanding of the accounting transactions themselves

·         Ensure the entries are coded to the correct project codes, if not highlight to the finance team and get them corrected. This will make sure the actuals are correctly aligned to the approved budget.

·         In conjunction with Finance Business Partner, reconcile actuals with accruals

·         Create finance dashboards and reports and give insights and commentary based on the variance
